Accrual Setup

Overview

The Accrual Setup page provides the configuration for which of the company’s time off accrual plans should be shown in the Employee Self Service (ESS) system.  It also defines for which plans an employee may request time off as well as detailed settings to be used to handle ESS requests.

 

Fields

•      Accrual Code – The accrual policy for this accrual setup item.

•      Show in ESS? – When checked, this accrual code will be displayed to employees in the ESS system.

•      Allow ESS Requests – When checked, employees are allowed to request time off under this accrual policy.

•      Hours Per Day – The number of hours that constitute a day for accruals under this accrual plan.  This is used when determining if the employee has requested time that would put the employee under the Minimum Request Balance setting.

•      Always Exclude Holidays – When checked, employee accrual requests will always exclude holidays from the requested days.  If unchecked, the employee will have the option to exclude them or not when they make an accrual request under this plan.

•      Always Exclude Weekends – When checked, employee accrual requests will always exclude weekends from the requested days.  If unchecked, the employee will have the option to exclude them or not when they make an accrual request under this plan.

•      Maximum Days in Single Request – The maximum number of consecutive days an employee may request off in a single time off accrual request.

•      Minimum Request Balance – When an employee requests time off, the system will multiply the number of days requested by the Hours Per Day setting above, then subtract the product from the current available accrual balance to calculate a predicted balance.  If the predicted balance is lower than the Minimum Request Balance, then the request is not allowed.  Note that the system does not attempt to predict future accrual earnings, so depending on your plan details, you may wish to set this number at a sufficiently low number so employees may request time against possible future earnings.  Negative numbers can and probably should be configured here as a result.

•      Custom Request Instructions – The instructions provided here are displayed to the employees when they are requesting time off under this accrual plan.
