Salary: $15.25 hourly
Reports to: Director of Dining Services
Job Summary:
- Under the general direction of the director of Dining Services, performs a variety of complex, responsible, and confidential secretarial record-keeping duties, and administrative duties requiring a thorough knowledge of organizational procedures and policies; provides clerical assistance to designated staff members; responds to telephone and personal inquiries, and performs related work as required.
- Full time, 10-month position. (does not work during the summer months)
Duties and Responsibilities:
- Determines priority of incoming correspondence and routes items to appropriate staff.
- Screens calls, visitors, and refers inquiries as appropriate; responds to telephone and personal inquiries not requiring immediate attention of the Director.
- Maintains a variety of files and records including payroll/work records, sales, and petty cash.
- Distributes menus and posts to Intranet and updates recipe nutritional values online; oversees cashier in Raney Dining Room; sells tickets during lunch. Prepares production sheets, butler menus, menu tags, and event tickets.
- Oversees scheduling of Centennial Room and Raney Dining Room events including suite dinners. Responds to requests for reservations and accepts orders for special functions.
- Works closely with Dining & Catering Manager, Director, and Assistant Director in planning and evaluating needed staff for special events.
- Schedules and oversees student workers.
- Processes Purchase Orders and other budgetary items.
Knowledge, Skills, Abilities:
- Knowledge of correct English usage, grammar, spelling and punctuation; basic mathematics; modern office methods, procedures, equipment and filing systems; computer literacy; business letter and report-writing techniques; proofreading, record-keeping principles and procedures; and receptionist and telephone techniques. Knowledge of Microsoft Office Programs including Excel.
- Following oral and written instructions; working effectively with others; learning rapidly; learning, interpreting, and applying organizational policies; communicating tactfully and effectively in both oral and written form; working independently in the absence of supervision; compiling and maintaining records and files; composing correspondence independently.
- Ability to identify administrative issues and assist in solving identified issues; meet multiple deadlines; coordinate training programs; function as an administrative link between and among departments.
Credentials and Experience:
- Associate’s degree with major course work in business practices preferred
- Three years of responsible secretarial and administrative experience preferred
Required Work hours:
- General Schedule, Monday – Friday 8:00 am – 5:00 pm
- Some evenings and weekends required for events
