Registrar and School Data Specialist

Qualifications

  • Prior experience working in a Title 1 school community is preferred (with a focus on student records management)   
  • Bachelor's degree 
  • Demonstrated knowledge of student information systems (e.g., Skyward, Banner, PeopleSoft, PEIMS) and proficiency in data querying and reporting tools

            

Organizational Overview

Founded in 2001 and rooted in the Christian faith, Yellowstone Schools collectively educates 600 children in Pre-K through 10th grade and will grow a grade each year to serve 12th grade by 2026. Yellowstone partners with students and families—regardless of financial means—to provide a life-changing education, develop a strong moral foundation, and prepare scholars for life beyond high school. The K-12 campus is located in the Third Ward, one of Houston's oldest historically Black neighborhoods.

Most students served live in communities without access to strong educational opportunities. With classes ranging in size from 16 to 22, our students experience a rich academic and co-curricular model while receiving bus transportation, two meals a day, and access to a comprehensive student support program.

Yellowstone Schools consists of a cooperative of two school systems: a lower school (a private Christian school serving PreK-5th grade) and an upper school (a tuition-free, public charter school growing to serve 6th-12th grade). The lower school and upper school are distinct legal and financial entities with separate governing boards. The name Yellowstone Schools reflects each school system’s shared mission, vision, values, culture, and leadership. Each school complies with all applicable federal and state laws.

 

Position Overview

We are seeking a dynamic and experienced individual to join our institution as the Registrar and Manager of Student Data. This role is pivotal in ensuring the efficient management of student records and data integrity. The ideal candidate will possess strong organizational skills, attention to detail, and a passion for leveraging data to enhance student success.

 

Essential Qualities

  • This position will require the utmost level of discretion and confidentiality, as this employee will have access to student files and other related institutional documents that are confidential. 
  • This position requires awareness of and compliance with policies and procedures relating to child protection, equal opportunities, health and safety and security, confidentiality and data protection. 
  • Excellent communication and interpersonal skills with the ability to collaborate effectively across departments.
  • Detail-oriented with strong analytical and problem-solving abilities.
  • Prior experience in project management and leading process improvement initiatives is desirable.

 

Essential Duties

Student Records Management

  • Oversee the maintenance and integrity of student records, including enrollment, grades, academic progress, and graduation requirements
  • Develop and implement procedures for the collection, storage, and retrieval of student data in compliance with institutional policies and regulatory requirements

Data Analysis and Reporting

  • Utilize student data to generate reports and analysis to inform decision-making processes and support institutional effectiveness
  • Collaborate with academic departments and administrative offices to develop dashboards and metrics for tracking student performance and outcomes

Registration and Enrollment

  • Manage the registration process, including course scheduling, class rosters, and room assignments
  • Provide guidance and support to students and faculty regarding registration procedures, academic policies, and curriculum requirements

TEA Reporting and Compliance

  • Working closely with Yellowstone’s PEIMS consultant, prepare, maintain, and submit all required Texas Education Agency reports, including yearly seasonal submissions, six weeks reports, and other related data reports
  • Process and transmit requests for student information, including student transcripts

Technology Integration

  • Evaluate and implement technology solutions to streamline student data management processes and enhance data accessibility
  • Collaborate with the IT department to maintain and enhance the student information system (SIS) and other related platforms
  • Collaborate with data consultant to establish student data HUB via PowerBi

Training and Development

  • Provide training and support to staff involved in student data management to ensure consistent practices and adherence to policies
  • Stay current with trends and best practices in student data management and share knowledge with relevant stakeholders

Student Records, Grade Books, and Related Functions

  • Maintain accurate physical and computerized records including student folders, class rosters, class schedules, grade books and related information
  • Process new student records to ensure student folders are updated, complete, and accurate
  • Assist with the enrollment, withdrawals and transfer of students and process applicable records
  • Coordinate printing and distribution of report cards and progress reports
  • Prepare honor roll and perfect attendance lists
  • Assist school administration with the preparation of other reports and student data information
  • Assist with the collection of family paperwork, including student handbook forms, health forms, transportation forms, and other related correspondence

Attendance

  • Responsible for all attendance reporting to administration
  • Collect and enter attendance and tardy data daily, and verify accuracy according to established procedures
  • Ensure proper documentation of excused and unexcused absences
  • Call parents to verify student absences as needed
  • Assist parents, students, and faculty with questions regarding student attendance

 

Work Environment & Physical Demands

  • This position will include early morning, evening and weekend commitments as required and assigned.
  • This position requires participation in training and other learning activities as required and assigned.
  • Regularly required to sit, stand, walk, talk, hear, operate a computer, hand-held learning devices and other office equipment, reach with hands and arms, and must occasionally lift and/or move up to 10 pounds.

 

Compensation and Benefits

Base salary will be commensurate with qualifications and experience.
