Advancement Assistant

Qualifications, Education and Requirements

Bachelor’s Degree preferred. In lieu of degree, 5 years’ professional work experience.

Company Overview

Founded in 2002, Yellowstone Academy is a unique Christian private school for 250 students in preK3 through 4th grade. At Yellowstone, we believe every student is born with purpose and destined for success. We inspire, empower, and invest in our students to achieve their highest potential and fulfill their intended purpose. As a faith-based private school, we serve students from communities where there is no access to strong educational opportunities. With an average class size of 16 to 18 children, our students experience a rich academic and co-curricular model, while receiving bus transportation, two meals a day, and access to a comprehensive student support program.

 

Yellowstone Academy operates on a beautiful Third Ward campus built in 1927 that is less than half a mile from downtown Houston. As part of its unique program, the Academy is co-located with Yellowstone College Prep, a public charter that is growing to serve students in 5th-12th grade. This innovative public/private model is the first of its kind in the state of Texas. These two schools will operate through a shared services agreement as they leverage the Academy’s fifteen years of success and expand to serve nearly 1,000 students in pre-K through 12th grade within the next five years.

 

Essential Duties

  • Monitor and manage the advancement email, answering questions as appropriate, forwarding to pertinent team member(s), and/or reporting to the team when appropriate.
  • Manage in-kind donations
    • Point of contact for all in-kind donors, including those who come from outside advancement
    • Coordinate delivery of items to school, distribution of items to appropriate team/teacher, completion of in-kind donation form by donor and log pertinent data.   
  • Oversees, monitors, and executes proper database management to ensure the accuracy and integrity of constituent files in Raiser’s Edge, etc.
  • Manages donation tracking, recording pledges and gifts received, issuing monthly reminders for outstanding pledges, and processing donor thank you/tax letters daily
  • Responsible for pulling database lists and managing departmental mailings in collaboration with the advancement team
  • Yellowstone’s liaison to community partners, coordinating and provide support before, during, and after community partnership events
  • Volunteers and Services Projects
    • Gain information on volunteer needs from advancement team, teachers, social workers and front office staff;
    • Create monthly volunteer newsletter which includes upcoming needs and school updates;
    • Assist in coordination of volunteers and projects;
    • Be the initial point of contact for Yellowstone Schools volunteers;
    • Provide support before, during and after all volunteer events/projects

Other Duties

  • Contribute to all advancement department activities, including attending events, providing behind the scenes support before and afterward and interacting with donors during events.
  • Assist with other advancement responsibilities, including, but not limited to: coordinating tours as needed, putting together grant proposals, and participating in advancement strategy sessions.

Work Environment and Physical Demands

The work environment can be very active and dealing with a wide variety of challenges, deadlines, and a varied and diverse array of contacts. The physical demands described here are representative of those that must be met by an employee to successfully perform the essential functions of this job. The employee will primarily work in a traditional climate-controlled office environment. The employee must occasionally lift and/or move up to 25 pounds.  While performing the duties of this job, the employee is regularly required to use hands to finger, handle, or feel and talk or hear. The employee is frequently required to stand; walk; sit and reach with hands and arms. The employee is occasionally required to climb or balance and stoop, kneel, crouch, or crawl.  Occasionally, the employee may work intermittently in outside weather conditions, including extreme heat and cold, specifically for events. The noise level in the work environment is usually moderate.
