Scope Summary
Project Coordinator / Contracts Analyst. This individual supports Engineers and Project Managers by performing project specific functions, ensuring project workflow, organizes project files, develops contracts/subconsultant agreements, and maintain critical project controls documentation.
Primary Responsibilities
Coordinator shall perform the following activities from the VSCE Home Oakland office in support of select Project Managers:
- Develop contracts, subconsultant agreements, and task orders
- Set up projects, project budgets, bill rate tables, teaming assignments and other critical data in the firms accounting system (Deltek Vantagepoint)
- Track contract changes and work with accounting to update budgets in the firms accounting system and any other client specific reporting mandates
- Maintaining detailed project records and produce weekly, monthly and annual reports from the firms accounting system (including any ad-hoc reports required by Project Managers or clients).
- Assist with invoice preparation to ensure data quality and validation of contract values and current spent levels using firms accounting system
- Track all project costs (billable and non-billable), expenditures, scope of work (and out of scope work), deliverable schedule, contract funding (and remaining funds) and cash flows (including client AR Aging assistance)
- Review and edit contract related documents for completeness, accuracy, format, and grammar
- Perform other general administrative functions, as needed
- Perform project scheduling and document control
Technical Tools Used in the Project
Position requires strong cost accounting skills in sophisticated accounting software (Deltek Vantagepoint preferred). Position requires strong analytical and written communication skills to coordinate. Person needs to be able to coordinate with multiple stakeholders to collaboratively achieve project objectives.
Requirements and Qualifications
Bachelor’s degree desired in journalism, business, or related technical field. Require professional consultant experience previously assisting with contracts, budget management, or supporting corporate accounting. Minimum of eight (8) years total. Require proficiency in cost accounting and contracts development. Project/cost controls experience is highly desired.
