Recall/Reactivation Receptionist

Reports to: Kay Ward or Shauna Lansdell, Office Manager or Lead Receptionist
Type: Full-time
Hours 40/week 

General Description

  • Job Responsibilities: Operate telephone business system equipment to relay incoming, outgoing and interoffice calls.  Will supply information to callers and record messages.  Will be responsible for recare and reactivation patients and phone calls. 
  • Recare/Reactivation Specialist Duties: Operate multi phone line office communication system.  Relay or route written or verbal messages.   Use computer to enter, access or retrieve data.  Use printer to print reports and copier and fax machine as job requires.  Create patient recall lists for various types of appointments.   Responsible for accountability with progress of job by providing monthly reports to management (track number of calls made, how many patients were reached, how many appointments were scheduled, how many letters were mailed, how many patients had incorrect information).   Responsible for input in organization of this job role through notebooks, spreadsheets and other forms of data.  Responsible for planning and prioritizing work.  Responsible for evaluating information to determine compliance with standards. Must be able to multi-task and work on recall and reactivation patients.  Responsible to create and send letters/ postcards.   Responsible to learn basic information about the various types of appointments in order to answer basic questions from patients on phone.  Must have ability to read reports. Will be cross trained in order to fill in with other front office roles as needed.  Will be responsible to handle other job duties that will be added to job description.  Will be required to rotate Saturday work shift with front desk receptionists and phone operators.

Work Experience Requirements

  • Two or more years experience in medical office setting (preferred, not required)
  • Two or more years customer service experience 
  • Bilingual (preferred, not required)

Education Requirements

  • High school diploma or GED
