Date:  November 2025

FLSA Status:  Exempt – Full-time, 12-month position

Salary:  $36,000 per year

Reports to:  Director of Admissions

 

Cottey College seeks a highly organized and collaborative individual to join the enrollment team as the enrollment operations and visit manager. This full-time role, with benefits, plays a central part in ensuring the smooth and efficient functioning of back-end operations within the enrollment office, while also leading the planning and execution of all campus visit experiences and admissions events. This position requires flexible hours during peak periods, including evenings and weekends.

 

Position Summary: Under the general direction of the director of admissions, this position serves as the operational hub of the enrollment office. Responsibilities include assistance with application processing workflows, overseeing enrollment checklists, coordinating and enhancing the campus visit experience, managing admissions events, and supporting enrollment counselors to provide an efficient admissions operation. This individual will be the primary point of contact for prospective student visits and events.

 

Duties and Responsibilities

  • Plan, coordinate, and execute all campus visit experiences, individual visits, group tours, and specialized visits tailored to prospective student interests
  • Serve as the main liaison between enrollment, coaches, faculty, staff, dining, housing, and other stakeholders to design meaningful, personalized visit agendas
  • Manage all admissions events for prospective students
  • Lead communication efforts promoting visits and events, including scheduling, reminders, confirmations, and follow-up messaging
  • Evaluate visit and event outcomes and implement improvements
  • Assist in the processing, review, and tracking of prospective student applications and related materials
  • Promptly prepare, assemble, and send acceptance boxes and other mailed materials
  • Manage and monitor prospective student checklists to ensure timely submission of required documents, such as unofficial and official transcripts and other enrollment forms
  • Communicate regularly with prospective students, enrollment counselors, coaches, faculty, and campus partners regarding missing items or next steps
  • Assist enrollment counselors with operational tasks, document collection, data accuracy, and follow-up needs to ensure a seamless workflow
  • Maintain accurate student records within the customer relationship management (CRM) system and other platforms
  • Collaborate closely with members of financial aid, academic records, student life, athletics, and other department staff to ensure enrolling students are fully prepared to arrive on campus
  • Oversee ordering and inventory management of office supplies for the enrollment team
  • Collaborate in the leadership of Cottey’s Golden Key student ambassador program, including recruitment, training, scheduling, communication, and development
  • Maintain high standards for tour quality, professionalism, and campus hospitality.
  • Guide ambassadors in delivering engaging, accurate, and mission-centered campus tours
  • Participate campus committees as assigned
  • Strengthen collaboration and communication between enrollment and broader campus stakeholders
  • Support office-wide recruitment efforts and serve as a positive representative of the enrollment management team
  • Use CRM and technology tools to maintain efficient workflows and data integrity
  • Perform other duties as assigned to support the goals of the enrollment division

 

Knowledge, Skills, Abilities

  • Strong organizational, project management, and multitasking skills
  • High attention to detail and accuracy, particularly in handling application materials and data systems
  • Ability to provide excellent customer service to diverse groups of students, families, faculty, and staff
  • Proficiency with Microsoft Office Suite, CRM systems, online platforms, and communication tools
  • Strong written and verbal communication skills
  • Ability to work independently and as part of a team; proactive, adaptable, and solutions-oriented
  • Ability to represent the College in a polished, professional manner

 

Credentials and Experience

  • Possession of a bachelor’s degree from an accredited college or university
  • Prior admissions, higher education, or operations experience preferred
  • Experience in event planning or customer service is a plus

 

Special Requirements

  • Valid driver’s license required
  • Ability to obtain a Class E driver’s license
